ProfEmail is an autonomous, single-command PhD outreach and research-matching assistant. It is powered by Python, Django, Google Sheets (gspread), and Google Gemini LLM. The system uses a Google Sheet as its single source of truth, automatically identifying candidate professors, enforcing departmental concurrency locks, scraping verified publications from Google Scholar, and synthesizing personalized cold emails based on a custom profile. It writes drafts and research summaries back to the spreadsheet.
The agent enforces academic constraints: formal tone, concise drafts of no more than 150 words, mentions of attached Resume and Transcript, calibrated fit scores from 1 to 10, and verified paper references. It scrapes target professors' Google Scholar profiles for verified, recent publications, prioritizing 2025 and 2026. It can process professors one by one or in batches while updating group locks dynamically.
Setup involves cloning the repository, creating a Python virtual environment, customizing PROFILE_INSTRUCTIONS.md, configuring Google Cloud service account credentials, sharing a Google Sheet with the service account, and setting environment variables. Users run Django management commands such as draft_next to fetch eligible professors, scrape publications, generate drafts, and update the sheet. The tool writes back Pipeline Status, LLM Research Summary, LLM Fit Score, Email Subject, and Email Draft in a single API call.
